Can I connect an AI agent or automation to Airtable?

Yes. Airtable has an API and webhooks, so an AI agent or automation can create and update records and react to changes in a base. Notkode used Airtable as Loss Prevention’s CRM, with leads flowing from the website form into the base on their own. The limit to respect is 5 requests per second per base.

5
requests per second per base
50,000
records per base on the Team plan
7 days
before an unrefreshed webhook expires

What are the numbers, with sources?

  • The Airtable API allows 5 requests per second per base and 50 per second per personal access token; going over the limit means waiting 30 seconds. (Source: Airtable API rate limits)
  • Airtable’s Free plan allows 1,000 records per base and 1,000 API calls per month; Team allows 50,000 records and 100,000 calls; Business allows 125,000 records and unlimited calls. (Source: Airtable plans)
  • Airtable webhooks created with personal access tokens or OAuth expire after 7 days unless refreshed. (Source: Airtable webhooks)

What does an AI agent do inside Airtable?

The most common uses:

  • Write every lead from the website or WhatsApp as a record, with source and stage.
  • Look up the base to answer customers about orders, bookings or stock.
  • Update the record’s stage when the customer replies.
  • Alert the team when a record changes, triggered by a webhook.

How did the Loss Prevention project work?

Loss Prevention’s sales operation lived in spreadsheets and email. Notkode built a new website in Framer, used Airtable as the database and CRM, Sendgrid for emails and n8n to move leads from the form into the base. The pipeline became visible and nobody copies contacts by hand anymore.

Which Airtable plan does an automation need?

Free includes only 1,000 API calls per month, which a lead automation uses up quickly. For a continuous automation, Team (100,000 calls per month) is the most common starting point.

Common mistakes

  • Running an automation on the Free plan and stopping mid-month at 1,000 calls.
  • Forgetting to refresh webhooks, which expire after 7 days, and silently losing events.
  • Writing one record per call instead of sending several records in the same request, as the API allows.
  • Renaming a field the automation uses without updating the flow.

How does Notkode connect agents and automations to Airtable?

Notkode integrates agents and automations with CRMs (HubSpot, Pipedrive, RD Station), Google Sheets and Excel, ERP and finance systems, Notion and Airtable, Google Calendar and custom systems. In 2024, for Loss Prevention, it connected the website form to Airtable with n8n, so leads land in the CRM without anyone copying them. A project is ready in 2 to 3 weeks on a normal timeline.

Frequently asked questions

Can Airtable work as a CRM?

For many companies, yes, as it does for Loss Prevention. When the pipeline needs fuller sales features, a dedicated CRM may fit better.

What happens if the automation goes over the limit?

Airtable rejects the requests and the automation must wait 30 seconds. A well-built flow stays within 5 requests per second per base.

Does it work with Notion instead of Airtable?

Yes. Notkode integrates agents and automations with both Notion and Airtable; the choice depends on whether the base is more data or more documents.

How long does the integration take to go live?

At Notkode, 2 to 3 weeks on a normal timeline, 1 to 2 weeks on a fast one and within 1 week when urgent.
