❯ Question and answer
Do I need to switch my CRM or system to use an AI agent?
In most cases, no. If your CRM or system has an API, an AI agent can read and write to it: look up the customer, create the lead, move the deal stage. HubSpot, Pipedrive, RD Station, Google Sheets, Airtable and Notion all have open APIs. Switching only makes sense when the system lets nothing in or out.

What are the numbers, with sources?
- HubSpot advertises 1,900+ apps in its Marketplace. (Source: HubSpot App Marketplace)
- Pipedrive advertises 500+ integrations. (Source: Pipedrive)
- Zapier connects 9,000+ apps. (Source: Zapier pricing)
- RD Station Marketing’s contacts API allows 120 requests per minute per account on Light, Basic and Pro, and 500 on Advanced. (Source: RD Station API limits)
What does an agent need from your CRM?
Three things, which almost every modern CRM offers:
- An API to read and write: find the customer, create the lead, update the stage.
- Webhooks, so the agent knows right away when something changes.
- An integration user with permission only for what the agent needs.
Which systems already connect to an agent without switching?
| System | API | Webhooks |
|---|---|---|
| HubSpot | Yes, 100 to 190 requests every 10 seconds | Yes |
| Pipedrive | Yes, with a daily token budget | Yes, up to 40 per user |
| RD Station Marketing | Yes, 120 to 500 requests per minute | Yes |
| Google Sheets | Yes, 300 requests per minute per project | Through an automation tool |
| Airtable | Yes, 5 requests per second per base | Yes |
When is it worth switching systems?
When the system has no API and no automatic export, when the team already keeps a parallel spreadsheet because the CRM does not fit, or when the operation has outgrown every off-the-shelf tool. Then the choice is between another SaaS and custom software.
Common mistakes
- Switching CRMs before checking whether the current one has an API: the migration costs more than the integration.
- Connecting the agent with a salesperson’s login, which breaks the integration when they leave.
- Giving the agent full CRM access when it only needs to read contacts and create deals.
- Not deciding which system is the source of truth, leaving the same data in two places.
How does Notkode connect agents and automations to the CRM you already use?
Notkode integrates agents and automations with CRMs (HubSpot, Pipedrive, RD Station), Google Sheets and Excel, ERP and finance systems, Notion and Airtable, Google Calendar and custom systems. In 2024, for Loss Prevention, it connected the website form to Airtable with n8n, so leads land in the CRM without anyone copying them. A project is ready in 2 to 3 weeks on a normal timeline.
Frequently asked questions
My CRM is not well known. Can it still work?
If it has a documented API, yes. If not, the way in is sometimes an automatic export or a database integration.
What if the company only uses spreadsheets?
You can start with the spreadsheet: Google Sheets has an API. As volume grows, the sheet usually becomes a base like Airtable or a system of your own.
Can the agent write wrong data into the CRM?
It can, if it has too much permission. That is why it only gets access to what it needs and the fields it writes are validated.
How long does the integration take to go live?
At Notkode, 2 to 3 weeks on a normal timeline, 1 to 2 weeks on a fast one and within 1 week when urgent.
