How do I get sales out of spreadsheets and email and have leads land in the CRM automatically?

Connect your website form straight to a database that works as a CRM, and automate the lead's path between tools. That is what Notkode did for Loss Prevention in 2024: a new Framer site, Airtable, Sendgrid and n8n, four tools integrated, with every lead going from the form to the CRM without anyone copying it.

What are the numbers, with sources?

  • The API of Airtable, the base used as the CRM at Loss Prevention, allows 5 requests per second per base. (Source: Airtable API rate limits)
  • A Google Sheets spreadsheet holds up to 20 million cells, but it keeps no pipeline history and no control over who sees what. (Source: Google Drive file limits)
  • HubSpot advertises 1,900+ apps in its Marketplace: off-the-shelf CRMs are built to receive leads from other tools. (Source: HubSpot App Marketplace)

What does a sales team stuck in spreadsheets look like?

At Loss Prevention, before the project, the whole sales operation ran on spreadsheets and email. There was no view of the funnel, no automation and no way to scale: every lead depended on someone copying a contact from one place to another.

Which tools solved the problem?

Four tools, each with one job:

  • Framer: the new website, with the form that captures the lead.
  • Airtable: the database that works as the CRM.
  • Sendgrid: transactional emails.
  • n8n: the automation that takes the lead from the form to the CRM.

What changed afterwards?

Leads started landing in the CRM on their own, straight from the form, and the funnel became visible. The team stopped copying data between spreadsheets and email.

How long does it take to automate lead capture?

At Notkode, an automation is ready in 2 to 3 weeks on a normal timeline, 1 to 2 weeks on a fast one and within 1 week when urgent. It can connect to the CRM you already use (HubSpot, Pipedrive, RD) or to Google Sheets and Excel, and a quote with scope, timeline and price arrives within a few hours.

Common mistakes

  • Automating a messy spreadsheet instead of first defining the pipeline stages.
  • Letting leads land in the CRM without their source, so nobody knows which channel sells.
  • Keeping the old spreadsheet running in parallel after the CRM goes live.
  • Not alerting the salesperson when a new lead arrives.

Frequently asked questions

Do I need a paid CRM?

Not necessarily. At Loss Prevention, Airtable works as the CRM. If you already use HubSpot, Pipedrive or RD Station, the automation connects straight to it.

Can I use the CRM I already have?

Yes, if it has an API. HubSpot, Pipedrive, RD Station, Airtable and Google Sheets all do.

What about old leads in the spreadsheet?

They go into the CRM in a one-time import, before the automation starts writing new ones.

What about leads that arrive on WhatsApp?

They follow the same path. Notkode builds agents and automations that work on WhatsApp, email, Instagram DM and website chat, and write the lead into the CRM.
